In HeyGen, Workspaces allow teams to collaborate efficiently, but Enterprise users have access to an additional layer of organization called Sub-Workspaces (sometimes referred to as “Spaces” or “Sub-Spaces”). This feature is designed for agencies, corporations, and enterprise users managing multiple teams, clients, or departments under one parent organization.
Creating a New Sub-Workspace
Under Members & Workspaces in your main workspace and on your bottom-right click “Create Sub-Workspace.”
Name your Sub-Workspace and, if needed, add a photo as well.
Invite team members by entering their emails and choosing their roles. If you'd like to use an invite link instead, this will have to be done from within the sub-workspace after it is already created.
Sub-Workspaces: Parent-Managed vs. Self-Managed
Sub-Workspaces are separate environments nested under a main Enterprise Workspace. When creating a Sub-Workspace, admins must choose between two modes – Parent-Managed and Self-Managed.
The main difference between the two is billing: a Parent-Managed Sub-Workspace relies on the main account for all payments and cannot purchase add-ons, while a Self-Managed Sub-Workspace handles its own billing for additional purchases and can independently buy credits, avatar slots, or other add-ons.
Setting Your Sub-Workspace Type
When creating your sub-workspace, look for the toggle labeled “Parent space manages billing” when creating the Sub-Workspace.
Turn the toggle on if you want the parent space to manage billing, or off if you want the Sub-Workspace to be self-managed.
Parent Workspace
The Parent (main) Workspace retains full control over all Sub-Workspaces.
Sub-Workspaces cannot interact with each other — only the parent can view and manage them collectively.
The parent can access all Sub-Workspace videos, manage members, delete content, and allocate resources like avatar slots and generative credits.
Parent-Managed Sub-Workspace
Parent-Managed Sub-Workspaces cannot purchase credits, add seats, or make changes independently.
Ideal for large organizations where internal departments need separation but remain under central administrative control.
Self-Managed Sub-Workspace
Functions as an independent environment within the parent account.
Users in these spaces can purchase their own seats, credits, and features directly.
The Parent Workspace can still view and manage the space but does not approve transactions.
Ideal for resellers, agencies, or enterprise clients who want to provide HeyGen access to end-users without managing every purchase or operational decision.
Commonly used when one company offers HeyGen as part of its service to clients who prefer financial autonomy.
Choosing the Right Sub-Workspace Type
Selecting a sub-workspace type depends on how you plan to manage access, billing, team autonomy is also dependent on your specific use case.
Here are examples of how organizations might structure Sub-Workspaces:
Parent-Managed Example:
“Amazon UK” creates sub-workspaces for Amazon Support UK, Amazon Marketing UK, and Amazon Engineering UK. Each team operates independently but cannot purchase credits or seats. The main parent workspace manages all access, resources, and billing centrally.
Self-Managed Example:
A creative agency offering HeyGen-powered solutions to its clients creates sub-workspaces for each client. Each client (sub-workspace) can purchase their own credits and manage their own billing independently, while the agency retains oversight of setup and seat allocation.
Inviting and Managing Team Members in Sub-Workspaces
You can invite your team members to join your Sub-workspace in the same way as you do in a regular workspace.

When creating a new Sub-Workspace, you’ll have the option to invite teammates right away and assign their roles during setup.
If you want to invite teammates to a Sub-Workspace that’s already been created, open the Sub-Workspace and click Add teammates. From there, enter the member’s email address, select their Role, and then click Confirm & Invite to send the invitation.
Important Notes
Account requirement: All invited users must first create a free HeyGen account (with email and password) before they can accept an invite.
Invite links: These can be deactivated anytime if they are overused or shared externally.
Permissions: Only the Space Owner or a Super Admin can change roles or revoke invitations.
Seats: Each Workspace has a fixed number of seats (user slots). Additional seats can only be added through your Enterprise Executive — they can’t be purchased directly.
SubWorkspace Ownership and Roles
Each Workspace has one Space Owner, who has ultimate control over roles, permissions, and content within that Workspace. There is no way for users in the space to know exactly who the owner is, as this setting isn't visible on the user side.
While multiple users can be assigned the Super Admin role, only one person can be the Space Owner- the user whose role cannot be changed or removed by anyone else. Even if another Super Admin logs in, they cannot modify or revoke the Owner’s privileges.
Seat and Resource Allocation
From the parent Workspace, Enterprise admins can allocate:
Seats (user slots) per Sub-Workspace
Avatar Slots for creating video or interactive avatars
Generative/API Credits for video rendering or Avatar IV use
Note: Seat allocations are currently manual — you cannot set automatic seat limits per Sub-Workspace. Admins can, however, remove excess users or adjust allocations as needed.
Each user and space receives 10 free minutes of Avatar IV usage per month. Additional minutes can be purchased through Gen Credits, which convert into Avatar IV minutes.
Deleting or Managing Sub-Workspaces
Sub-Workspaces can be deleted easily through the parent account if created by mistake or no longer needed. This is especially useful since users sometimes accidentally generate multiple test spaces.
To delete, go to Members & Workspaces → click on the selected Sub-Workspace → click on the gear icon (Settings) → Delete Sub-Workspace.
Frequently Asked Questions (FAQs)
Q: Is the Space Owner role transferable?
A: Yes, the Space Owner role can be transferred. The main Enterprise contact must notify their assigned Account Executive to request the ownership transfer.
Q: What happens if the invitee already has a paid HeyGen account (Creator or Team)? Does joining an Enterprise workspace cancel their existing subscription automatically?
A: When a user is invited to an Enterprise parent-managed sub-workspace, they automatically become an Enterprise user. However, their previous subscription is not cancelled automatically. The user should contact [email protected] to manually cancel the existing subscription. Our support team can also arrange a partial refund based on the unused portion of their previous plan.
Q: If I’ve already assigned Avatars and Generative Credits to a sub-workspace and then delete it, do those assets return to the Parent Workspace?
A: No. When a sub-workspace is deleted, its assigned Avatars and Generative Credits are permanently deleted as well. As a best practice, document the number of assigned assets before deletion and inform your Account Executive or support team if you need those credits or avatar slots replenished.
Q: Do all Sub-Workspaces automatically become Enterprise?
A: Yes, all Sub-Workspaces created under a parent-managed Enterprise account automatically inherit the Enterprise tier.
Q: Is the Creator role the same as the Creator plan?
A: No, these are two different things. The Creator role within a Sub-Workspace refers to a user permission level — someone who can create content but has more limited access than a Developer or Super Admin. The Creator plan, on the other hand, is the first paid tier of HeyGen’s web-based subscription plans.
Q: Is billing separate for a Self-Managed Sub-Workspace?
A: The main Enterprise billing remains under the parent account. However, Self-Managed Sub-Workspaces handle their own additional purchases, such as credits, avatar slots, or add-ons, independently from the Parent Workspace.
Q: How can I tell what type of Sub-Workspace I’m in?
A: There currently isn’t a way to check this directly within your account. If you’re unsure whether your Sub-Workspace is Parent-Managed or Self-Managed, please contact your Space Owner for clarification.
Q: I've invited someone from my team, but they did not receive the invite. What can I do ?
A: Please ask your teammate to first check their spam folder for HeyGen related emails as they might have been sent there. Then, if there might be a company-wide firewall or similar tool, you can ask your IT team to whitelist HeyGen domains for incoming emails, and use the "invite by Link" method instead. This creates an invite link you can send your team on any platform for them to join directly from their account.
