Personalized Video: Step Three - Creating Your Second Zap + Finishing Up!

You've created your template and your first zap. Now we will create your second zap and publish your project.

The steps in the article below will guide you on how to create your second Zap in Zapier to update your Google Sheet with your Personalized Video content.

⚠️ Important: Be sure to complete Steps One and Two—creating a template and setting up Google Sheets + Zapier—before proceeding. Step One article can be found here. Step Two article can be viewed here.

In this article, you’ll learn how to set up the second Zap, which automatically updates your Google Sheet with the generated video links once the videos are completed. We’ll wrap up by testing the entire workflow to ensure it’s working seamlessly, enabling you to generate personalized videos for multiple contacts at once.


By the end, you’ll have an efficient system that automates personalized video creation and organizes everything in one place.


Set Up Zap #2: Update Google Sheet when Video is Complete

Once the personalized video has finished generating, we’ll set up a process to automatically send the video data back to the Google Sheet for storage.

The following fields will be updated in the sheet:

  • HeyGen Video Share Page URL

  • HeyGen Video Download URL

  • HeyGen GIF Download URL

⚠️ Important: Make sure to test the workflow end-to-end after you finish setting up this Zap before reaching out to your contacts.

Step 1:

Create a new Zap in Zapier.


Step 2:

  • Click the first trigger button to open the menu and select HeyGen.

  • In the Setup tab, ensure HeyGen is selected in the App section.

  • Set the Trigger Event to Avatar Video Success.

  • Select the Google account attached to your Google Sheet and click Continue.


Step 3:

  • In the Test tab, select your test video from the dropdown. Ensure it is correct by clicking the arrow > and ensuring data like 'Callback ID' and 'Event Data Video Share Page URL' are populated with content.

  • Click Continue with selected record.


Step 4:

  • Back in the Setup tab, select Google Sheets as the app to connect.

  • Set the Action Event to Lookup Spreadsheet Row.

  • Select the Google account attached to your Google Sheet and click Continue.

Step 5:

  • In the Configure tab, choose the Google Drive associated with the Personalized Video Google Sheet.

  • For the Spreadsheet, choose your Personalized Video Google Sheet.

  • For the Worksheet, choose the tab in your Google Sheet that is associated with your project.

  • For the Lookup Column, choose Email.

  • For the Lookup Value, choose Callback ID.

  • Skip all the rest and press Continue then Test Step. If this is successful, press Continue again.

Step 6:

  • Back in the Setup tab, select Google Sheets as the app to connect.

  • Set the Action Event to Update Spreadsheet Row.

  • Select the Google account attached to your Google Sheet and click Continue.

Step 7:

  • In the Configure tab, choose the Google Drive associated with the Personalized Video Google Sheet.

  • For the Spreadsheet, choose your Personalized Video Google Sheet.

  • For the Worksheet, choose the tab in your Google Sheet that is associated with your project.

  • For the Row (if not already auto-selected), click the plus sign +, then Lookup Spreadsheet Row in Google Sheets. Select Row.

  • Do not update Email, Last Name, or Company Name.

  • For the HeyGen Video Share Page URL, click the plus sign +, then Avatar Video Success in HeyGen. Select Event Data Video Share Page URL.

  • For the HeyGen Video Download URL, click the plus sign +, then Avatar Video Success in HeyGen. Select URL.

  • For the HeyGen GIF Download URL, click the plus sign +, then Avatar Video Success in HeyGen. Select Event Data GIF Download URL.

  • Click Continue.

Step 8:

  • Test your Zap!

  • If successful, you’ll see a message that says: "A Spreadsheet Row was sent to Google Sheets about 0 seconds ago" in the Zapier test tab.

  • Check your Google Sheet to confirm the content transferred over.


Generating for Multiple Contacts

We’ve shown you how to create a single video, but what about generating multiple videos at once? With this integration, you can bulk add contacts to your spreadsheet, and the system will create personalized videos for all of them simultaneously.

💡 Pro Tip: We recommend adding only 10-15 contacts at a time to your spreadsheet to avoid throttling issues.

How to Bulk Add Contacts

To bulk add contacts, start new rows in your Google Sheet and copy the details for multiple contacts, ensuring all fields align correctly (e.g., name with name, email with email, etc.).

Once the fields are populated for your bulk additions, the Zaps you’ve created will work to generate personalized videos for each contact based on your specifications. When the process is complete, the spreadsheet will automatically fill in with the new video links for all the added contacts. Cool, right?!


Finishing Up

If you’ve successfully completed this tutorial, you now have a Google Sheet connected to HeyGen via Zapier, enabling you to generate personalized videos in bulk with ease.

Once you’re confident your Zaps are working as expected, it’s time to publish them. Open each Zap, go to the final test page, and click Publish!

If you encounter any issues with a specific Zap, head to your Zaps homepage and toggle the published Zap off while you troubleshoot and fix it.
