How to use Proofreading for Video Translation

Learn how our Proofread tool can increase the accuracy of translation projects for Team and Enterprise users.

HeyGen's Proofread tool helps you refine and perfect your video translations by allowing you to review and adjust key elements like voices and scripts. It streamlines the process by offering options to compare, edit, and enhance your content, ensuring it meets your standards for accuracy and style. With easy-to-use tools, you can fine-tune every detail, making the final product polished, professional, and on-brand.

Starting a Proofreading Project

To start a proofreading project, go to the top-left corner of your dashboard and click Create Video, then select Translate a Video from the menu on the left. You can upload your video directly from your computer or paste a YouTube or Google Drive link. Once the video is uploaded, click Next to continue.


On the Proofread creation page, you can select some more Advanced options. If you want to learn more about these options, click here for more info!

Once you’ve customized your settings, select your Source Language (or leave it on Auto Detect) and your Target Languages.

You can also choose to upload an SRT or ASS file to streamline the proofreading process by providing the translated text in advance.

Then, click Review & Edit to submit your proofread project.


Editing Your Proofread

After your proofread is complete, head back to your dashboard homepage to access the project. Inside the project, there are several options available to you for editing—let’s break them down one by one.

Change the Speaker

Did the tool assign the wrong speaker or inaccurately sync the lip movements? No problem—adjust the speaker selection by clicking the 'Speaker' column and selecting your preferred speaker.

Change the Voice

You can keep the original speaker's voice from the audio or replace it with a custom voice or one from HeyGen's voice library by selecting the 'Voice' next to the speaker.

Adjust the Script

Need to add something, correct a mistake, emphasize a different point, or delete something entirely? You can do all that within the Proofread Studio. Just click into the section in need of editing and make your corrections.


Working on your text outside of HeyGen

Need to back up your work or just feel like working on it elsewhere? You can download the Excel / SRT file of your script, and edit it on those file types, and later upload the correct version back to your HeyGen Proofreading project.

💡 Pro Tip: Accidentally made an edit and want to view previous versions? Simply select "Get Versions" to access your edit history.


Invite other teammates to edit your proofread

HeyGen allows you to invite other teammates or even contractors to help edit your proofread!

🛎️For Team Plan users- You can invite teammates using the "Share" button on the proofread file. These users have to have a seat on your HeyGen Team plan.

For Enterprise Plan users- You can invite proofreaders without consuming a HeyGen seat!.


Simply click on the "Invite proofreaders" button on the top right and enter their email to invite others to help you with your project!

Please note: These users would need to create a free HeyGen account to be able to log in. They will also not need a full seat of their own, so you're good to go!

You can also use our marketplace to hire professionals to help you with your proofreading!

When editing the proofread, you and your team can leave comments on specific words or sentences, attach images or audio notes, and tag collaborators.


Proofreading Best Practices

I'm getting a red warning "script may be too short or too long"

These are warning, not blockers. They indicate that text doesn’t perfectly match the scene length. You can preview the text by clicking on the small Play button to see if you feel this is too fast or too slow. If it's fine, you can ignore this warning. If not, you can slightly adjust either the script or the timestamps to get rid of this warning and speed up / slow down how this translated text is being vocalized.


Avoid timestamps overlapping

Unlike warnings, if the timestamps of the script blocks overlap, you won't be able to submit your proofread project. If you are getting an error regarding timestamps, please ensure each line ends before the next begins (e.g., if one ends at 00:00:32.740, the next should start at 00:00:32.750 or later).

Fixing Voice and Lip Sync Issues

If you encounter lip-sync or accent inconsistencies, you can extract the audio from your original video and create a Custom Voice using HeyGen’s Voice Clone feature and reapply it to your project and regenerate the video. This typically fixes accent issues and improves lip-sync accuracy.

Keep in mind: if a speaker’s head is turned more than 30° from the camera, or appears too small in the frame, the algorithm may struggle to lip sync perfectly.

Dealing with Off-Screen Speakers and Gender Swaps

For videos with off-screen speakers (e.g., narrators in commercials), our system may accidentally lip-sync their voice to on-screen characters.

To prevent this, mark these script blocks as Off-Screen in the Speaker column.

You can also correct gender swaps here — for example, if a male voice becomes female. Simply reassign the correct voice to the correct speaker or choose a new one from the voice library.

Making Script and Speed Adjustments

Insert a new line by clicking Add a Script between two timestamps, type your new line, and click Update Translation. HeyGen will automatically generate the translation.
